Privacy Policy

1. Introduction

Lakeshore Logic respects your privacy.

This Privacy Policy explains how Lakeshore Logic ("we", "us", or "our") collects, uses, discloses, stores, and protects personal information when you visit lakeshorelogic.ca, submit an inquiry, request a consultation, or engage us for services.

2. Personal Information We Collect

The information we collect depends on how you interact with us.

Website inquiries

When you submit the website contact form, we may collect:

  • your name
  • your email address
  • your phone number, if provided
  • your town or city, if provided
  • your preferred reply method
  • the project category you select
  • details you provide about your home, devices, network, or project
  • any other information you voluntarily include in your message

Please do not send passwords, access codes, payment-card information, alarm codes, private access tokens, or other sensitive credentials through the website contact form.

Customer and project information

If you become a customer, we may collect information reasonably needed to assess, quote, schedule, deliver, support, and document the services you request. This may include:

  • contact information
  • your service address
  • project notes
  • equipment lists
  • network and smart-device information
  • photos or diagrams of relevant areas of your home, with your permission
  • quotes, invoices, payment records, and service history
  • support and troubleshooting notes

Some services may require temporary access to device settings, smart-home dashboards, or home-network settings. Where practical, you should enter passwords yourself and retain control of your accounts.

Business, web, and software work

IT, web-development, and software-development work may involve authorized access to a client's business systems, application logs, support files, or customer or employee records held in those systems. In most cases we only view that information temporarily while performing the authorized work and do not copy or retain it. Where the work requires us to copy or hold such information, such as a log excerpt or support file needed to diagnose a problem, we keep only what the work requires, for only as long as it is needed, and handle it under the applicable service agreement.

Technical website information

Standard technical information may be processed automatically when you visit the website, such as your IP address, browser type, device type, pages requested, date and time of access, and basic security or diagnostic information.

3. How We Use Personal Information

We may use personal information to:

  • respond to inquiries
  • schedule calls and appointments
  • assess your needs
  • prepare quotes and recommendations
  • provide smart-home, networking, IT, web-development, and software-development services
  • configure, test, document, and support systems
  • communicate with you about your project
  • send invoices and maintain business records
  • coordinate technical requirements with contractors where authorized
  • protect the security and reliability of the website and services
  • prevent spam, fraud, or misuse
  • meet legal, tax, accounting, insurance, and regulatory obligations
  • resolve disputes or respond to lawful requests

We will not use personal information for unrelated purposes without consent unless permitted or required by law.

We seek consent in a form appropriate to the information and the circumstances. When you submit an inquiry after receiving our collection notice, we use the information reasonably needed to respond and assess your request. Before collecting sensitive information or using information for a new purpose that requires consent, we explain the proposed use and obtain the required consent. Optional uses are presented separately and are not a condition of receiving unrelated services.

4. Contact-Form Submissions

Our contact form uses Netlify Forms to receive and store submissions and screen them for spam. Netlify's spam screening uses Akismet. Submissions retained by the service are accessible through the Netlify Forms dashboard. We also receive form notifications through our business email service and use the information to respond to your inquiry. Relevant copies may therefore be held in both the forms system and our email records.

Our service providers may process or store personal information outside Canada. In those locations, information may be accessible to courts, law-enforcement agencies, or other authorities under applicable local law. We remain responsible for personal information transferred to providers for processing on our behalf and use contractual or other appropriate measures to provide comparable protection.

5. Hosting and Service Providers

We use third-party service providers to operate the website and business. These may include:

  • Netlify, for website hosting, contact-form processing, and spam screening
  • Cloudflare, for authoritative domain name system (DNS) services, which help direct requests for our domain to the hosting service. Cloudflare's proxy is disabled for this website, so website HTTP/HTTPS traffic is served by Netlify rather than routed through Cloudflare's proxy, caching, or web-security services. Cloudflare may process technical information associated with DNS queries in providing DNS services
  • our business email service, which we host ourselves, where form notifications and inquiry correspondence are received and stored
  • accounting, invoicing, banking, insurance, and professional-advisory providers
  • contractors involved in your project where you authorize the disclosure

We share information only as reasonably necessary for the purposes described in this Privacy Policy or as permitted or required by law.

6. Contractors and Referrals

Some projects require work that Lakeshore Logic does not perform, such as electrical work or new in-wall cabling.

If you ask us to coordinate technical requirements with an electrician, low-voltage installer, or other contractor, we may share limited project information reasonably needed for that purpose.

Electrical contractors, cabling installers, and other excluded trades are contracted and paid directly by the client. They operate independently and are responsible for their own handling of information after receiving it for their independently contracted services. We remain responsible for our own handling and disclosure of personal information.

7. Marketing Communications

Submitting an inquiry does not subscribe you to a newsletter or marketing list.

We may send communications related to your inquiry, quote, appointment, project, invoice, or support request.

We will only send promotional communications where permitted by law and, where required, with the appropriate consent.

Promotional messages will identify the sender and provide a way to unsubscribe where required by law. You may also contact hello@lakeshorelogic.ca to withdraw consent to promotional messages. We will honour unsubscribe requests within the applicable legal deadline.

8. Cookies and Analytics

As of the date this Privacy Policy was last updated, the website does not use advertising cookies, behavioural-tracking pixels, or third-party marketing analytics.

The website may rely on essential technical processing performed by hosting, network, and security providers to deliver the site and protect it from abuse. Cloudflare's DNS-only service does not set cookies in visitors' browsers. We do not use Cloudflare proxy or challenge cookies on this website in its current configuration. Our own website code does not set analytics, advertising, or tracking cookies.

If analytics, advertising tools, or non-essential cookies are added in the future, this Privacy Policy will be updated and any consent mechanism required by law will be implemented.

9. Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, subject to legal, tax, accounting, insurance, and dispute-resolution requirements.

Unless a longer period is required or justified:

  • inquiries that do not become customer projects are generally deleted within 24 months after the last substantive exchange about the inquiry
  • temporary credentials, access tokens, and remote-access permissions are deleted, disabled, returned, or transferred back to the customer after work is complete unless ongoing access is expressly authorized in writing

We retain invoices and supporting tax records for the applicable statutory period, generally six years after the end of the last tax year to which they relate, and longer where required. We retain agreements and other project records according to their continuing service, ownership, legal, or dispute-resolution purpose. Technical records and personal information no longer needed for an identified purpose are securely deleted or de-identified where appropriate.

10. Safeguards

We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the personal information we handle.

No method of transmission or storage is completely secure. We cannot guarantee absolute security.

11. Access, Correction, Deletion, and Consent Withdrawal

You may request access to personal information we hold about you and information about how it has been used or disclosed. You may ask us to correct inaccurate or incomplete information. Send a written request to the Privacy Officer at hello@lakeshorelogic.ca. We will assist you where needed and verify identity using information proportionate to the request.

We will respond to access requests within 30 days, subject to extensions permitted by law. If an extension or refusal is permitted, we will provide the notices, reasons, and information about complaint rights required by law. We will not refuse access solely because of a general contractual term or technical inconvenience.

You may also ask us to delete information or withdraw consent to further collection, use, or disclosure, subject to applicable legal or contractual restrictions and reasonable notice. We will explain relevant consequences and any continuing retention requirement. Deletion is not an absolute right: some information must be retained for legal obligations or another lawful continuing purpose. We will stop processing that depends on withdrawn consent, subject to applicable law.

13. Changes to This Privacy Policy

We may update this Privacy Policy and will post the effective date of the updated version. We will give additional notice of material changes where appropriate and obtain any new consent required by law before making the affected use of personal information. Posting an update does not by itself amend a signed service agreement or the policy version incorporated into it.
